Baltimore County HMIS News 10/30/13


Thank you all for your continued support, participation, and patience with HMIS!  Please note the following HMIS news and updates below.  
  • HMIS Support Requests 
    • ALL support requests, inquiries, meeting/training requests, etc., must be made through our new HMIS Support Portal (see link below) so that we may maintain HUD compliance.
    • Due to limited HMIS staffing, support responses will be completed based on priority.

  • Reporting Requirements
    • Each agency must provide accurate and timely data entry, as per their grant agreement.
    • For those agencies required to submit HUD CoC APR's, one user per agency should be trained in ART so that they may monitor APR progress throughout the year.
      • YWCA and SSVF are excluded
    • We will revisit the monthly HMIS Scorecard shortly, and post each agency's score online.
    • If reports training is needed, please request a time on our HMIS Support Portal (see link below).
  • Trainings and Meetings
    • As with all HMIS support requests, please use the HMIS Support Portal to request trainings/meetings (see link below)
    • Due to limited HMIS staffing, we must conduct all HMIS trainings/meetings either at our office or via WebEx.
      • This does not include the Homeless Roundtable Committees, SSVF, etc..
      • Some exceptions may be made under special circumstances.
          
  • Users Meetings
    • We will conduct HMIS User meetings bi-monthly.
    • Everyone will be added to calendar appointment reminders once we have set a date.
    • Meetings will be held via WebEx (or you may attend in person at our office), and will last approximately 1-2 hours per meeting.
    • Please view the "BCDP Office Map" and "WebEx Compatibility" PDF's on our HMIS Resources site.

  • Assessment Form
    • In efforts to reduce data entry and save paper, ink, etc., I have removed a few redundant questions from our assessment.  Please note that all sub-assessment questions (income, non-cash benefits, disabilities) must be completed.
    • The new form may be found on our HMIS Resources site (see link below).
  • Consent Form (ROI)
    • In efforts to reduce data entry and save paper, ink, etc., the consent form (ROI) has been reduced to one page and extended to be valid for three years.  
    • Please note the three years while entering the "End Date" in the ROI section of ServicePoint.
